What is e-invoicing?

E-invoicing equals digital or electronic invoicing. It means that electronic invoices are created, sent and received in a predetermined, online structure. So, e-invoicing should not be compared at all to the classic PDF invoice you receive via e-mail.

No, e-invoicing goes much further. Whereas you first have to fish out a PDF file from your e-mail and then enter the invoice into your accounting software yourself, e-invoicing does this automatically for you. The digital invoice arrives immediately in your accounting programme, where it is ready for immediate processing. Less work for you!

In some cases, you will still receive the invoice via e-mail.
This depends on your access point (usually your accounting programme) on the Peppol network.

Only between companies

That defined structure, say the software under the bonnet, is called UBL. Which stands for Universal Business Language. The purpose of this fixed structure is to allow the e-invoice to be read quickly and error-free by your accounting programme. Something that is not possible with a PDF invoice you receive via e-mail.

The word ‘business’ in UBL immediately makes it clear that this digital form of invoicing is mainly aimed at companies (B2B). However, government bodies also use this digital invoicing system. As a company, you can therefore not use e-invoicing to send invoices to private individuals.

E-invoicing via European PEPPOL network

E-invoicing runs via PEPPOL. This is a network infrastructure that connects various companies, government bodies and service providers. That way, you receive your electronic invoice in a secure and standardised way. Currently, 41 countries already use this invoicing network.

Mandatory from 2026

By starting with e-invoicing, Easyhost sets its sights on the future. From 2026, electronic invoicing will be mandatory for all businesses in Belgium. This is already the case in several European countries.

This is because e-invoicing is a large-scale project of the European Union. Our country also has ambitious plans when it comes to digital invoicing. The implementation of those plans will start on 1 January 2026. An agreement on this was recently reached by the government.
